CleanTalk Best Practices

1
Install CleanTalk as a background layer on your intake forms, not as a replacement for evaluating lead quality. CleanTalk blocks known spam IP addresses and bot-submitted form entries before they hit your CRM. What it doesn't do is filter legitimate but low-quality human leads — someone manually submitting your contact form with a fake injury is invisible to CleanTalk. The right mental model: CleanTalk handles the mechanical spam (bots, scrapers, offshore click farms) so your intake team can focus entirely on evaluating whether human leads are viable cases. If your CRM is still filling with junk after CleanTalk, the problem is lead quality from your marketing channels, not spam bots.
2
Enable CleanTalk's 'Stop New Registrations' setting during any period of abnormal spam activity rather than whitelisting individual IPs. PI firm websites occasionally get targeted by spam campaigns — a competitor's bot service, an SEO agency's link-building scraper, or a simple bot sweep of contact forms. When this happens, CleanTalk's dashboard will show a spike in blocked submissions from a cluster of IP ranges. Rather than playing whack-a-mole with individual IPs, temporarily enable CleanTalk's enhanced checking mode for 24-48 hours. This increases friction briefly for all new submitters while the campaign exhausts itself. Real potential clients will retry; bots won't.
3
Review CleanTalk's spam log monthly to verify legitimate leads aren't being blocked. CleanTalk maintains a detailed log of every blocked submission — IP address, email address, form field contents, and the reason for blocking. Review this log monthly, specifically looking for: (1) email domains you recognize (corporate or insurance emails that might be legitimate), (2) IP addresses in your geographic target market that were flagged as spam, and (3) any pattern suggesting that a specific referring source is sending traffic that CleanTalk treats as suspicious. A falsely blocked intake submission is a lost case. The 10-minute monthly log review is your quality control.
4
Configure CleanTalk to check both the email address and the IP address — not just one or the other. CleanTalk's default configuration checks submitted email addresses against its spam database. Enable IP address checking as well: many spam campaigns use fresh email addresses (not yet in the spam database) but originate from IPs that have a history of abuse. Dual-checking catches attacks that slip through email-only filtering. This is a checkbox in CleanTalk's WordPress plugin settings under Advanced Options and takes 30 seconds to configure — but it's not enabled by default.
5
Pair CleanTalk with a honeypot field in your contact form for defense in depth against sophisticated bots. CleanTalk is cloud-based reputation checking; a honeypot field is a local, invisible form field that human visitors never fill in but bots do. Together they catch different attack vectors. Add a CSS-hidden field named something generic like 'phone2' to your contact form. Any submission where that field is filled in gets discarded before reaching CleanTalk. This blocks primitive bots that CleanTalk's database hasn't yet indexed, and it reduces your CleanTalk API call volume (relevant if you're on a volume-limited plan).

Alternatives to CleanTalk

1
Cloudflare Turnstile — Free and genuinely superior for most PI firm websites. Turnstile validates visitors at the browser level using behavioral signals (how they interact with the page before submitting) rather than a reputation database lookup. It's invisible to legitimate visitors, catches modern bot traffic effectively, and requires zero ongoing maintenance or subscription. The trade-off: Turnstile protects forms but doesn't provide a spam log or dashboard — you won't know what it blocked. For firms that need visibility into blocked submissions (for lead quality auditing), CleanTalk's logging capability is a genuine differentiator.
2
Akismet (WordPress) — Automattic's spam filtering service, included in many WordPress hosting plans. Akismet is excellent for comment spam and blog submissions but less reliable on contact form submissions because it was designed primarily for publishing workflows. If your main spam problem is WordPress comments and user registrations, Akismet handles it well. If the problem is intake form spam, Akismet's effectiveness varies more than CleanTalk's purpose-built contact form protection.
3
Google reCAPTCHA v3 — Invisible bot detection that scores user interactions on a 0-1 scale and lets you set a threshold for blocking. Free, widely supported, and no visible challenge for legitimate visitors. The meaningful trade-off is privacy: reCAPTCHA sends user behavioral data to Google, which creates data-sharing optics that some law firm clients are uncomfortable with. Cloudflare Turnstile was explicitly built to replace reCAPTCHA for privacy-sensitive use cases. If your firm has communicated a privacy-first posture to clients, routing their contact form interaction through Google is worth reconsidering.
4
WPForms Spam Protection (built-in) — WPForms includes native honeypot protection and an optional reCAPTCHA integration at no additional cost. For PI firms where contact form spam is an occasional nuisance rather than a persistent problem, WPForms' built-in tools may be sufficient without adding a separate subscription. If you're paying $10/month for CleanTalk and seeing fewer than 20 spam blocks per week, question whether the subscription cost is justified versus WPForms' free built-in options.

CleanTalk Power Moves

1
Use CleanTalk's API to pre-validate email addresses in your intake form before submission, not just after. CleanTalk provides a JavaScript API that can check whether an email address is known spam before the form is submitted. Add this validation to your intake form's email field: when a user finishes typing their email and moves to the next field, CleanTalk checks it instantly and shows a validation message if it's flagged. This real-time check stops bot submissions before they consume your form processing resources, and it gives the very small number of false positives a chance to use a different email address rather than silently failing.
2
Connect CleanTalk's blocked submission data to your marketing attribution reporting to identify spam-heavy traffic sources. If CleanTalk is blocking 80% of form submissions from a specific Google Ads campaign or a specific referral source, that source is either generating low-quality traffic or is actively being abused. Export CleanTalk's blocked IP and referrer data monthly and cross-reference it with your Google Analytics traffic sources. A lead generation service sending bot-inflated conversion numbers is something your marketing team needs to know about — and CleanTalk's logs are the evidence.
3
Set up a CleanTalk notification alert that emails your IT contact when the block rate spikes above your baseline — this is often the first sign of a targeted bot attack. CleanTalk can send email alerts when spam volume exceeds a threshold. Set it at 2-3x your normal daily block rate. A sudden spike in blocked submissions often indicates someone is probing your site for vulnerabilities, running an automated marketing experiment against your forms, or has included your contact form in a bot network test. Early detection gives you time to tighten form protection before the attack overwhelms your systems.
