Configure your SendGrid domain authentication (DKIM and SPF) before sending a single client-facing email — unauthenticated email from a law firm goes to spam. SendGrid provides domain authentication that proves to receiving mail servers that your firm authorized the sending. Without it, your client-facing email — intake confirmations, appointment reminders, case update notifications — has materially higher spam placement rates. Authentication setup requires adding three DNS records to your domain (provided by SendGrid's setup wizard) and is a one-time 20-minute task. After authentication, deliverability to Gmail and Microsoft 365 inboxes improves dramatically. Check your current authentication status in SendGrid's domain authentication section: if it shows "Pending Validation," your emails are not properly authenticated.

Separate your transactional email stream from any marketing email — they should use different IP addresses or subdomains. SendGrid allows you to route transactional email (intake confirmations, appointment reminders, system alerts) through a dedicated IP address or subdomain separately from marketing email (newsletters, campaign blasts).
